How to set a new attendee information field as sensitive personal data and obtain separate consent

When you create new attendee information fields in EasySignup, you must state whether it is "sensitive personal data", and if you want separate consent to collect and process the information.

If the information is sensitive, you must also state the purpose and legal basis for collecting and processing the information. You are obligated to inform the attendees about this at registration.

Creating a new attendee information field in the create event wizard

  • You can create attendee information fields several places in EasySignup, e.g. step 4 when creating a new event.

  • Start by giving the new field a name and an admin description. You must also choose whether the field should only be available for the one event or all events.
  • You now have to state whether the information is sensitive and whether you have a legal basis or wish to obtain a separate consent to collect and process it. NOTE: EasySignup can't give advice on whether the information is sensitive or not.
  • Selecting "No" to the information being sensitive lets you choose whether you want separate consent from the attendee to collect and process the information.

    If you select "Yes" to wanting separate consent, please describe the purpose of collecting the information in the text box. Attendees are presenting with this when registering, where they also have to give consent to the processing of the information. This consent can be revoked by the attendee at any time through a link in their confirmation e-mail.

    An example might be accepting that pictures or video from the event is being used on social media. Accepting newsletters is another example.

  • Selecting "Yes" to the information being sensitive lets you choose whether you have a legal basis to collect and process the information.

    If you select "Yes" to having a legal basis, please describe the legal basis and the purpose of collecting the information in the text box. Attendees are presenting with this when registering.
     
    If you select "No" to having a legal basis, attendees must give separate consent to the processing of the information. Please describe the purpose of collecting the information in the text box. Attendees are presenting with this when registering, where they also have to give consent to the processing of the information. This consent can be revoked by the attendee at any time through a link in their confirmation e-mail.
  • Finally, click "Add" to create the attendee information field.
  • The field is now visible in the list and you can continue creating your event.

Creating a new attendee information field on the page, where you edit an event

  • You can also create new attendee information fields on the page, where you edit an event. The section is located under the tab "Registration".
  • Click "Add" when you have given the field a name and an admin description and chosen whether the field should only be available for the one event or all events.
  • The attendee information field is now added and visible in the list. Here you can see whether the attendee information fields have special circumstances, i.e. if they are sensitive personal data or if you wish to obtain separate consent to collect an process them.
  • If you have created a new attendee information field, you can edit it and state if it has special circumstances, i.e.  if it is sensitive personal data or if you wish to obtain separate consent to collect an process it
  • When editing the attendee information field, you need to assess the same conditions as mentioned above.
  • If you change something, you must approve the registration terms for the event as these are updated according to your changes. Then you can save your changes.
